Do you offer a practice management system also? Will eyeTeknix work with my existing PM system?
We do not offer practice management features such as scheduling and billing. We will work with your existing PM vendor to determine the requirements for interfacing with that system, and then create a bridge between the two systems. Our universal integration adaptor can pull data from any system and incorporate it into eyeTeknix assuming that the system has the capability to export and import data in a usable format. Depending on the age and architecture of your PM system, this may be easy or complex depending on whether the or not the host system has standards for integration.

Do I have to convert all my patient data into the computer? Will I suffer a drop in productivity from having my staff all transition to computers immediately?
eyeTeknix was designed to prevent disruption to the practice by offering a gradual adoption of the system over time. To avoid disruption of workflow, the system can be run in parallel with paper charts until all staff members obtain proficiency. The patient chart notes generated by the system can be printed out at the end of the encounter and placed in the paper chart record, thereby obtaining the improved coding benefits while at the same time minimizing disruption to established practice processes. However, if the practice desires to go "paperless" from inception, eyeTeknix does allow attachments of scanned documents to the record.

What do I need in order to run eyeTeknix in terms of hardware and network requirements?
eyeTeknix is a server-based software application that requires a server to be installed within your clinic, and then accessed by client devices in the exam rooms that run Internet Explorer web browsers. PCs, laptops, and tablet PCs can all be used based on the practice's preference, as long as they include an Internet Explorer web browser (virtually all do). In addition, an office network must be present to access the eyeTeknix server, as well as an internet connection for updates and maintenance to occur.

Do you provide the hardware for me? Who installs the hardware and provides support for it?
mdTeknix does not sell hardware, but we can assist you and your practice with the hardware required to run eyeTeknix. After discussing with you your clinic layout, number of exam lanes, desired hardware configuration, and other details, we put together a quote for the hardware and then the practice may decide to purchase the hardware from a hardware provider such as Dell. The clinic can then utilize a local IT company for installation and support, or mdTeknix can also provide installation services if required.

Can eyeTeknix be customized to my practice needs?
eyeTeknix was designed to be utilized immediately upon installation as compared to many other Electronic Medical Record products, and does not require extensive customization. The majority of the screens and exam templates will work for you out of the box, which was done in order to help our customers get up to speed quickly and not incur expensive practice disruptions or customization fees. However, in some cases customization may be required and mdTeknix does offer customization at an hourly rate.

Is eyeTeknix HIPAA compliant? Does it offer security for my patient records?
eyeTeknix assists your practice with HIPAA compliance enabling an extensive amount of security features in order to protect patient confidentiality and regulate access to patient data. The software utilizes 128 bit SSL encryption to safeguard access to the system, similar to what is used with online banking. This technology has been proven to be very secure and protects unauthorized access to the system at all times. In addition, passwords and role-based authentication are utilized which allows administrators to set permissions for each user based on what type of data they should be allowed to access.

Can I access my patient records remotely utilizing eyeTeknix?
One of the most powerful features of eyeTeknix is the remote access to the system. You can access the system through a standard web-browser from anywhere in the world, just as if you were located in the office. This enables you to access patient records anywhere, anytime, and be able to instantly get information about your patients, print records, create referrals on the fly, and access all the features of eyeTeknix wherever, whenever.

I have multiple offices I work out of - can the system be used in all of these offices?
eyeTeknix can be utilized over a wide number of disparate locations off of one server, assuming that these offices are connected to each other and share a common scheduling and billing system. The eyeTeknix server is installed at the home office, and then is accessed by a web-browser from computers in the satellite offices back to the central office on the same network that the PM system utilizes. Since no software is installed on the exam room devices, multiple clinics can use eyeTeknix immediately upon installation.

How do I receive updates or maintenance to the software once it is installed? Do I pay for updates?
mdTeknix provides regular software updates automatically through the internet when system-wide improvements are made, free of charge. This includes refinements of existing functionality, additional features according to the version you have installed, and regular maintenance as required. New features or additional functionality that is released that are not part of the core package, such as device integration features or other separately charged pieces will incur a one-time fee in order to activate them.

How do the coding validation features work? How often are they updated, and are they locality-specific?
eyeTeknix offers the most coding features of any EMR company in the industry. The system was designed from the ground up around coding and documentation, as this is where the true value can be realized from the system. We have a partnership with Code Correct, the leading coding resource company that provides coding resources and tools for many large healthcare organizations in the nation. Once ICD-9 codes and CPT codes are chosen by the physician or scribe, these codes are validated over the internet immediately by the Code Correct service and returned back to eyeTeknix. eyeTeknix then processes the results of the code validation and displays them on the screen so that any errors can be corrected BEFORE the claims are submitted - preventing coding errors and denied claims. The codes that are sent are encrypted and do not contain patient identifiable or practice information, ensuring anonymity and security. Code Correct updates these code rules (CCI edits, LMRP checks, etc...) as they are modified, ensuring the most up-to-date rules are reflected. Code validations are specific to state and locality, and include state-based LMRP rules to ensure that any requirements by local Medicare carriers are applied.

How do the coding optimization features work? How does the system know which code to suggest in order to maximize reimbursement?
The 1997 Correct Coding Initiative guidelines that set forth the E/M levels of service and the documentation elements necessary to satisfy them are the basis for the coding optimization rules inside eyeTeknix. As you progress through a patient exam, the system checks to see what elements have been recorded and applies the calculations to determine the appropriate level of service at a given time. A dynamic E/M graph in the application can be clicked on that instantly tells you where you stand on the various elements, and also shows what sections are deficient, so that you can correct the deficiencies if accidentally missed to ensure proper coding. In addition, Eye Code documentation is calculated at the same time, and presented in the Coding screen based on local fee schedule tables, in order to suggest the appropriate code for maximum reimbursement based on documentation present. This quickly lets the physician know the answer to "do I use the E/M code or the Eye code for this visit?" Lastly, higher level E/M codes are not displayed unless the appropriate documentation is present, thereby preventing upcoding and the risk associated with this.

What type of training do you offer? How long will it take to get up and running with the software?
mdTeknix offers both classroom and web-based training so that you and your staff can get up to speed on using eyeTeknix quickly and begin achieving the benefits of use. The training program consists of a classroom session that highlights the various sections of the software, combined with hands-on use of the system in the exam lanes by techs and other users. Due to the intuitive layout of the system, basic familiarity of the software happens very quickly, with the more advanced features taking a bit longer to get used to. Within the first week complete exams can be accomplished, and within a month most users are proficient with the system. Post-classroom web training is also offered if additional training is required, as well as additional classroom training if requested. (Both carry a training fee). mdTeknix also offers customers online videos as part of the training package for additional training or reference needs.

What does "web-browser based" mean? Do I access the software through the internet? What is the benefit of being browser-based?
Web-browser based means that the application utilizes internet technology to perform its functions. The software is accessed just like going to a web page using Internet Explorer, except in this case, the web page is the eyeTeknix application within the clinic. The software can also be hosted externally in a data center if desired and accessed through the internet, however this does require a high-speed internet connection and has the potential for disruption if the internet connection gets disconnected. The benefit of this type of technology is that software does not have to be installed on the computers accessing the application, therefore lowering maintenance costs and affording a greater degree of flexibility in terms of the devices used to access the system. This also enables external access to the system from home, the road, on vacation, and anywhere a computer with a web browser is located. Maintenance and support costs are much less, as updated software can be easily pushed to the central server and does not require new software to be installed on each PC within the exam lane on a regular basis.
